WhatsApp & Electronic Communications Policy
CA Sorted
Operated by Nikiru Digital
Proprietor: Nikhil Sonawane
Effective Date: 14 September 2026
Last Updated: 14 September 2026
1. Purpose
CA Sorted provides communication functionality that may allow Chartered Accountants and authorised professionals to communicate with their clients through email, WhatsApp, and other supported communication channels.
This WhatsApp & Electronic Communications Policy explains how these communications may be used through CA Sorted and the responsibilities of users who use these features.
2. WhatsApp Integration
CA Sorted may integrate with the WhatsApp Business Platform, including Meta’s WhatsApp Cloud API, to facilitate service-related communications.
Depending on the configuration of the CA Sorted account, WhatsApp may be used for communications such as:
- Document requests;
- Service-request notifications;
- Client portal notifications;
- Document submission reminders;
- Service reminders;
- Status updates;
- Other transactional communications relating to professional services.
WhatsApp functionality may depend on Meta’s platform availability, account approval, applicable policies, technical requirements, and third-party services.
3. Who Sends the Communication
CA Sorted is a software platform used by Chartered Accountants and authorised professionals.
Where a CA User configures WhatsApp communications for their clients, the CA User is responsible for the underlying professional relationship and for ensuring that communications are appropriate and authorised.
CA Sorted provides the technical mechanism for sending the communication.
A WhatsApp message sent through CA Sorted does not mean that Nikiru Digital is providing accounting, tax, legal, audit, or other professional advice to the recipient.
4. WhatsApp Opt-In
Before a CA User uses WhatsApp through CA Sorted to communicate with a recipient, the CA User is responsible for ensuring that:
- The recipient has provided their phone number;
- The recipient has appropriately opted in to receive WhatsApp communications;
- The recipient understands that communications may be sent through WhatsApp;
- The opt-in identifies the relevant business or professional sender;
- The communications are consistent with the purpose for which the recipient opted in; and
- The opt-in and communication process complies with applicable law.
Meta’s current WhatsApp Business Messaging Policy requires businesses to obtain the recipient’s phone number and opt-in permission for subsequent WhatsApp communications, with the opt-in clearly identifying the business.
CA Sorted does not treat simply having a phone number in a client record as proof that the recipient has opted in to WhatsApp communications.
5. Responsibility for Obtaining Consent
The CA User is responsible for obtaining and maintaining appropriate WhatsApp opt-in records for their clients.
CA Users should not assume that a client’s:
- Existing phone number;
- Email address;
- Previous communication;
- Business relationship;
- Use of the CA’s services; or
- Presence in CA Sorted
automatically constitutes WhatsApp opt-in.
Where required, the CA User should obtain an explicit WhatsApp opt-in.
6. Suggested WhatsApp Opt-In
Where a CA User wants to obtain WhatsApp opt-in from a client, the following wording may be used as a starting point:
WhatsApp Communication Consent
I agree to receive service-related communications from [CA/Firm Name] through WhatsApp, including document requests, reminders, service updates, and related communications. I understand that I can ask to stop receiving WhatsApp communications at any time.
The CA User should adapt the wording and consent process to their specific relationship and applicable legal requirements.
7. Respecting Opt-Out Requests
Recipients may request that WhatsApp communications stop.
A recipient may communicate this request:
- Through WhatsApp;
- By email;
- By phone;
- Through the CA or firm; or
- Through another available communication channel.
CA Users must respect valid requests to stop or reduce WhatsApp communications.
Meta’s current WhatsApp Business policy requires businesses to respect requests to block, stop, or opt out of WhatsApp communications.
8. Transactional and Service Communications
WhatsApp communications through CA Sorted are intended primarily for legitimate service-related communications.
Examples include:
- “Documents required for your GST service request.”
- “Your CA has requested additional documents.”
- “Your service request is due for follow-up.”
- “Your client portal request is awaiting documents.”
- “Your requested documents have been received.”
- “Your service request has been completed.”
The actual message content depends on the CA User’s configuration and the functionality available in CA Sorted.
9. Marketing Communications
CA Users must not use CA Sorted’s WhatsApp functionality to send unsolicited promotional or marketing communications.
Where marketing communications are supported or permitted, the sender is responsible for obtaining any required marketing consent and complying with applicable laws, regulations, and WhatsApp policies.
Transactional consent should not automatically be treated as consent for unrelated marketing communications.
10. WhatsApp Business Platform Message Templates
Where the WhatsApp Business Platform requires an approved message template, CA Sorted users must use an appropriately approved template.
Business-initiated conversations on the WhatsApp Business Platform may require approved templates under Meta’s applicable rules.
Meta may review, approve, reject, pause, or otherwise restrict message templates.
CA Sorted cannot guarantee that a particular template will be approved by Meta.
11. User-Initiated WhatsApp Conversations
Where a recipient initiates a WhatsApp conversation, CA Users may respond according to the applicable WhatsApp Business Platform rules.
Meta currently provides a customer-service window during which businesses can respond without using a message template, subject to Meta’s applicable policies and rules.
The applicable messaging window, pricing, template requirements, and other WhatsApp platform rules may change independently of CA Sorted.
12. Automated Communications
CA Sorted may automatically generate and send certain WhatsApp messages based on configured events, reminders, or Service Request activity.
Examples include:
- Reminder events;
- Document-request events;
- Service-request status changes;
- Client portal events;
- Recurring service events.
CA Users are responsible for configuring automated communications appropriately.
Automated communication should not be configured in a way that results in spam, misleading communications, excessive messaging, or messages that recipients did not reasonably expect.
13. Message Frequency
CA Users should configure reminders and automated messages responsibly.
The fact that CA Sorted technically permits a reminder or communication to be configured does not mean that sending it repeatedly or excessively is appropriate.
Users should consider:
- The recipient’s expectations;
- The nature of the professional service;
- The importance of the message;
- Appropriate communication frequency; and
- Any applicable WhatsApp policies.
14. Message Content
CA Users are responsible for the content of messages they configure or send through CA Sorted.
Messages must not:
- Contain unlawful content;
- Mislead recipients;
- Impersonate another person or business;
- Facilitate fraud;
- Harass or threaten recipients;
- Contain malicious content;
- Violate applicable law;
- Infringe another person’s rights; or
- Violate Meta’s applicable WhatsApp policies.
15. Sensitive Information
CA Users should exercise particular care when communicating sensitive information through WhatsApp.
Where reasonably possible, sensitive documents and detailed client records should be accessed through the appropriate secure CA Sorted workflow rather than unnecessarily reproducing sensitive information in a WhatsApp message.
For example, a WhatsApp notification may direct a client to their CA Sorted portal rather than include an entire financial document within the message itself.
16. Client Portal Links
CA Sorted may include client portal access information in communications.
A portal link may provide access to a specific Service Request.
Recipients should treat portal links as confidential and should not forward them to unauthorised people.
CA Users should send portal links only to the intended recipient.
If a portal link is believed to have been compromised, the CA User should revoke or regenerate the link where the relevant functionality is available.
17. WhatsApp Delivery
CA Sorted does not guarantee that every WhatsApp message will be:
- Delivered;
- Delivered immediately;
- Read;
- Responded to; or
- Successfully processed by WhatsApp.
Delivery may be affected by:
- Recipient settings;
- Internet connectivity;
- Phone availability;
- WhatsApp account status;
- Meta platform availability;
- Template approval;
- Messaging limits;
- Provider errors;
- Rate limits;
- Policy enforcement; or
- Other circumstances outside CA Sorted’s control.
18. Third-Party Platform
WhatsApp is operated by Meta and is a third-party platform.
Your use of WhatsApp is also subject to WhatsApp/Meta’s applicable terms, policies, and privacy practices.
CA Sorted does not control:
- WhatsApp availability;
- Meta’s platform policies;

- Meta’s enforcement decisions;
- WhatsApp account restrictions;
- WhatsApp delivery infrastructure; or
- Changes made by Meta to the WhatsApp Business Platform.
19. WhatsApp Policy Compliance
Users of CA Sorted’s WhatsApp functionality must comply with applicable Meta policies.
This includes the applicable:
- WhatsApp Business Terms;
- WhatsApp Business Messaging Policy;
- WhatsApp Messaging Guidelines;
- Meta policies applicable to the relevant account or feature; and
- Applicable laws and regulations.
Meta may restrict or disable WhatsApp Business access where it determines that applicable policies or terms have been violated.
CA Sorted cannot guarantee continued WhatsApp access if Meta restricts, suspends, or terminates the relevant WhatsApp Business account or API access.
20. Email Communications
CA Sorted may also send service-related communications through email.
These may include:
- Account-related communications;

- Reminders;
- Subscription or billing communications;

- Important service announcements.
CA Users are responsible for maintaining accurate client email addresses.

Electronic notices may be provided through:
- Email;

- Client portal notifications;
- WhatsApp;
- Other electronic methods supported by the Services.
Certain legal notices may be provided through the method required by applicable law.
22. Communication Preferences
Where CA Sorted provides communication preferences or controls, users should use those controls to manage available notification channels.
Not every communication type or channel may be individually configurable.
Certain security, account, billing, or legally necessary communications may continue to be sent where appropriate.

- Name;
- Email address;
- Phone number;
- WhatsApp number;
- Service Request information;
- Notification type;
- Delivery status;
- Communication timestamps; and
- Relevant operational information.
Where a third-party messaging provider is used, information may also be processed by that provider according to its own policies.
25. Changes to WhatsApp or Communication Services
CA Sorted may modify, suspend, or discontinue a communication channel where necessary because of:
- Changes to third-party APIs;
- Changes to Meta policies;
- Changes to provider availability;
- Technical limitations;
- Security requirements;
- Legal requirements;
- Cost or commercial considerations; or
- Other operational reasons.
We may replace WhatsApp with another supported communication method where appropriate.
